Core Responsibilities\u00a0<\/strong><\/p>\n

\n
• Ensure approved purchase request forms are submitted for every requests in line to the procurement policy<\/li>\n
• Create purchase requests and purchase orders using the MS DAX portal<\/li>\n
• Ensure strict adherence to the procurement policy and all the purchase requests are routed through the designated buyers<\/li>\n
• Follow up on all the purchase orders and coordinate the deliveries with the respective vendors<\/li>\n
• Maintain a positive professional relationship with the vendors to ensure the timely deliveries of all goods and services<\/li>\n
• Work closely with procurement team to ensure the timely deliveries<\/li>\n
• Responsible to verify all goods arrived as per the agreed purchase orders, delivery note and agreed quantity has been received<\/li>\n
• Receive and forward all types of goods and deliveries in and out of the office to the correct point of storage area<\/li>\n
• Follow all standards for issuing and receiving stock within the store’s area of operation<\/li>\n
• Refuse acceptance of damaged, unacceptable, or incorrect items<\/li>\n
• Ensure the Delivery notes and invoices are processed on a timely manner and submitted to accounts department for payments<\/li>\n
• Ensure all store requisitions are signed\/ approved as per the standard operating procedure<\/li>\n
• Responsible for issuing the items from store as per the approved store requisitions<\/li>\n
• Monitor and take inventory on regular basis to compile orders based on par levels or needs<\/li>\n
• Maintain clear and organised records to ensure all reports and invoices are filed and stored properly<\/li>\n
• Monitor Periodic Automatic Replacement levels for all stationary items to ensure proper levels<\/li>\n
• Responsible for storage of operational stock and regular check on the storage facilities to ensure strict compliance with HSE regulations<\/li>\n
• Maintain an up to date the asset list<\/li>\n
• Ensure all the transactions are documented<\/li>\n
• Follow up on documentation of after-hours issues ensuring it is in accordance with established internal controls and procedures<\/li>\n
• Monitor and manage the renewal of subscriptions, software and lease<\/li>\n
• Assist operations team with additional documentation works<\/li>\n<\/ul>\n

  Communication<\/p>\n

  • Communicates effectively with faculty, staff, colleagues and in the community (i.e. verbal, nonverbal and written communication).<\/li>\n
  • Performs those activities as will be required for the general welfare as requested by the Manager of Operations.<\/li>\n<\/ul>\n
